1. Define the inspection scope and machine identity

Before starting the engine, photograph the complete machine, stock marking and serial plate. Compare the visible configuration with the quotation: boom, arm, bucket, auxiliary piping, cab, counterweight and undercarriage should be the unit the buyer expects. Record the inspection date, yard location, weather and people present.

Agree the limits of the inspection. A visual and operational field inspection is not the same as dismantling components, laboratory fluid analysis or confirming title and export eligibility. List inaccessible areas and any test the yard does not permit. This keeps the report useful without implying a broader guarantee.

2. Observe a cold start and engine warm-up

Ask that the engine remain cold before the inspection when practical. Before starting, inspect the engine bay for leaks, damaged wiring, loose hoses, makeshift repairs, coolant contamination and oil condition. Record the display before the engine starts so warning lamps and the meter can be seen.

During starting and warm-up, note cranking behaviour, smoke colour and duration, abnormal knocking, excessive blow-by, unstable idle, warning indicators and visible leaks. Ambient temperature, altitude and engine design affect normal behaviour, so an isolated observation should be interpreted by a qualified inspector rather than converted into a diagnosis without context.

After warm-up, check response at different engine speeds and observe the cooling system. If the scope includes diagnostic codes, state the tool and method used and save the relevant screen or report. Clearing a code without investigating its cause is not evidence that the issue is resolved.

3. Test hydraulic, slew and travel functions

Cycle the boom, arm, bucket and slew functions through a safe working range. Look for hesitation, drift, chatter, abnormal noise, uneven movement and leakage at cylinders, valve blocks, pumps, motors and hose connections. A short no-load movement is useful but does not represent performance while digging or lifting.

Where the site permits, combine functions and test the machine after the hydraulic oil is warm. Check slew brake behaviour, excessive play, travel response in both directions and steering. Confirm the operation of any auxiliary circuits that the buyer needs for a breaker, shear, grapple or other attachment.

4. Examine structures, pins and undercarriage wear

Clean, well-lit images are needed around high-stress areas. Inspect the boom foot, boom, arm, bucket linkage, main frame, carbody, counterweight mounts and visible welds. Repaired or reinforced areas are not automatically unacceptable, but the report should locate them and recommend specialist review when the repair quality or structural significance is uncertain.

Check movement at pins and bushings and note whether play is estimated visually or measured. For tracked machines, inspect links, pins, bushings, shoes, sprockets, top and bottom rollers, idlers, guards and tension on both sides. Wear can be uneven; one convenient photograph is not enough to characterize the complete undercarriage.

Undercarriage percentage estimates should explain the measurement method and reference limits. If no measurements are taken, describe the result as a visual observation rather than a precise remaining-life percentage.

5. Check controls, electrical functions and safety items

Operate the monitor, gauges, work lights, horn, wipers, camera, air conditioning and other fitted controls. Photograph active warnings. Examine the seat, controls, windows, mirrors, access steps, handrails and visible cab damage. Requirements for alarms, guards, fire extinguishers or local certification vary by destination and jobsite, so the buyer should provide any mandatory list in advance.

Inspect the bucket, coupler and included attachment for identity, wear and obvious damage. Confirm whether pins, hoses, brackets and small loose components shown in photographs are included in the written quotation. Items left outside the machine are easy to misunderstand at loading time.

6. Build an evidence package that supports a decision

A useful report distinguishes observed facts from the inspector’s interpretation. It should group findings by system, label photos, identify urgent safety issues, list likely maintenance items and state all untested functions. The buyer can then request clarification, a repair quote or a second inspection without repeating the entire process.

Inspection reduces uncertainty; it does not eliminate it. Intermittent faults, internal wear and future failures may not be visible during a limited test. Keep the report together with the quotation and require any agreed repair or preparation to be evidenced before shipment.
